Grouping Results

Reports results can be summarized using the grouping feature available in Reports. By grouping important results or other data, you can quickly see summaries of meaningful information when viewing a report.

Groupings of results can be configured and saved as part of a report’s configuration.

Examples of summarized reports would be:

  • A report on appointments that have been scheduled, grouped by Provider Name and Appointment Status.
  • A report on the results of a message campaign for a patient, grouped by Campaign Response or Patient Name.

Setup Prerequisites

  • To create reports that have grouping enabled, you need to have report authoring permissions. Grouping can be enabled and saved from the authoring page of a report.
  • Viewers of a report can view summarized reports with report viewer permissions along with any other permissions needed to view the data that the report is based on

Configuration Steps

  1. In the main list view in Reports, click the name of the report on which you want to group records. This will take you to the report’s view page.

For example, in this appointment summary report, you can summarize the results by Provider Name so that viewers of the report can see the scheduled number of appointments for each provider.

  1. Click the blue Edit button in the upper right corner of the report’s view page
  2. . This will take you to the authoring page for this report.

To group the report results, click on the vertical … dropdown menu on a table column and select Group by [column name].

In the example below, the Group by action is being performed on the column called Searchable Name, so Group by Searchable Name appears on the dropdown menu.

Note: You can group by up to five fields at a time by selecting the Group by action on each column.

To ungroup results, select from the same dropdown menu Ungroup by [columnName].

  1. After you select Group By, the results will be grouped by the selected field. The following indicators on the authoring page show that the report is configured:
  • The grouped column is re-ordered on the table and shows first in the list of columns of the report.
  • In the Table Column section at the top center, a visual indicator indicating that the column is grouped will appear.
  • A blue row above the table will indicate the grouping of the results.



  1. To preview your grouping configuration, click Preview in the top right corner

  1. Save and run the report.
  • Results appear grouped with a count next to each group showing the number of results for that group.
  • All users who can access this report will be able to view the report summarized.

  1. To see the detailed list of records in a group, click the chevron next to each group. Click the chevron again to close this list and return to the group list.


  1. On a report’s view page, you also can ungroup or group by different fields using the Group by option from the table menu. However, groupings on the view page are not saved.

Note: Grouping by Date and Date time field types is available only by full timestamp from the reporting interface.
